Bay Signature Housekeeping LLC (“Bay Signature Housekeeping”, “we”, “us” or “our”) respects your privacy. This Privacy Policy explains what personal information we collect when you visit baysignaturehousekeeping.com, request a quote, book a cleaning or otherwise interact with us, how we use that information, who we share it with, and the choices and rights you have. It applies to our website and to the services we arrange for clients in Alameda, Contra Costa, San Francisco, San Mateo and Santa Clara Counties, California.

Please read this policy together with our Terms & Conditions and our Cleaning Service Terms, which govern the services themselves.

  1. Who We Are

Bay Signature Housekeeping LLC is a California limited liability company that operates as a referral agency. We connect clients with independent cleaning professionals who perform residential cleaning services. The cleaning professionals assigned to your home are independent contractors and are not our employees. This structure affects how your information is shared, and we describe that sharing in Section 4 below.

  1. Information We Collect

2.1 Information you give us

When you request a quote, create a booking or contact us, we collect the information you choose to provide. This typically includes:

  • Your name, telephone number and email address.
  • The service address, and details about the home such as square footage, number of bedrooms and bathrooms, pets in the household and the general condition of the property.
  • Scheduling preferences, including the service type, date and frequency you select.
  • Access instructions, such as gate codes, lockbox codes, parking directions, alarm information or where a key will be left.
  • Special requests and notes, including products you would like used or avoided, and areas you want prioritized or skipped.
  • The content of messages, emails, text messages and voice calls you exchange with us.

Payment card details are entered directly into our payment processor and are not collected or stored on our systems. See Section 4.2.

2.2 Information collected automatically

When you visit our website, certain information is collected automatically by our analytics provider and by the hosting infrastructure. This includes your IP address, approximate location derived from it, browser type and version, device type and operating system, referring website, the pages you view, the time and duration of your visit, and the links you click. This information is collected through cookies and similar technologies, described in Section 5.

2.3 Information from other sources

We may receive information about you from our online booking platform, from our payment processor regarding the status of a transaction, and from publicly available sources such as the reviews you choose to leave on third-party platforms. If someone books a cleaning on your behalf, we receive the information that person provides about you and the property.

2.4 Sensitive information

We do not seek sensitive personal information, and we ask that you not send us government identification numbers, financial account numbers, health information or similar details through our website forms or by email. If you provide access codes or alarm information, we treat that information as confidential and share it only as described in Section 4.

  1. How We Use Your Information

We use the information described above for the following purposes:

  • To prepare and deliver quotes, and to respond to your questions.
  • To schedule, arrange, confirm and coordinate cleaning appointments, including assigning a cleaning professional to your booking.
  • To process payments, authorize payment methods and apply any fees described in our Cancellation Policy.
  • To communicate with you about your bookings, including confirmations, reminders, changes, arrival notices and follow-up.
  • To address service concerns, arrange a return visit where our Cleaning Service Terms provide for one, and investigate claims of damage or loss.
  • To maintain records of services performed, payments and communications.
  • To operate, secure, troubleshoot and improve our website, and to understand how visitors find and use it.
  • To send you service-related messages and, where you have given consent or where permitted by law, promotional messages about our services. You may opt out of promotional messages at any time.
  • To comply with legal obligations, enforce our agreements, and establish, exercise or defend legal claims.

  1. How We Share Your Information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We disclose personal information only in the circumstances described in this section.

4.1 Independent cleaning professionals

To perform the service you booked, we provide the assigned cleaning professional with the information necessary to complete it. This ordinarily includes your name, the service address, your telephone number, the scheduled date and time, the scope of the service, access instructions and any special requests you have made. Cleaning professionals are contractually required to use this information solely to perform the service and to keep access information confidential.

4.2 Service providers

We use third-party providers to operate our business. Each receives only the information it needs for its function, and is required to protect it:

  • Our online booking platform, which hosts the quote and booking flow and stores booking records.
  • Stripe, which processes payments. Card details are transmitted directly to Stripe and are governed by Stripe’s own privacy policy. We receive confirmation of the transaction and a masked reference to the card, not the full card number.
  • Google Analytics, which provides website traffic measurement.
  • Our website hosting, content delivery and security providers.
  • Email, telephone and messaging providers used to communicate with you.

4.3 Legal and protective disclosures

We may disclose information when we reasonably believe disclosure is required by law, subpoena or court order; is necessary to investigate potential violations of our agreements; or is necessary to protect the rights, property or safety of our clients, our cleaning professionals, our company or the public.

4.4 Business transfers

If our business is involved in a merger, acquisition, financing or sale of assets, personal information may be transferred as part of that transaction. We will require the recipient to honor the commitments in this policy or provide notice of any material change.

  1. Cookies and Analytics

Our website uses cookies and similar technologies. Strictly necessary cookies are required for the site and the booking flow to function. Analytics cookies help us understand which pages visitors reach, how they arrived and where they leave, so that we can improve the site. We do not use cookies to build advertising profiles.

You can set your browser to refuse cookies or to alert you when a cookie is being set. Blocking strictly necessary cookies may prevent parts of the site, including booking, from working correctly. You may also opt out of Google Analytics measurement by installing the browser add-on Google provides for that purpose.

Some browsers transmit a “Do Not Track” or Global Privacy Control signal. We honor Global Privacy Control signals where applicable law requires us to treat them as an opt-out request.

  1. How Long We Keep Information

We keep personal information for as long as needed for the purpose it was collected, and afterwards only as long as necessary to comply with legal, tax, accounting or insurance obligations, resolve disputes and enforce our agreements. Booking and payment records are generally retained for the period required by applicable tax and business-records law. Access codes and key instructions are retained only while you remain an active client and are deleted at your request or when your account becomes inactive. Website analytics data is retained according to the retention period configured in our analytics account.

  1. Security

We use reasonable administrative, technical and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration and destruction. These include encrypted transmission of data to and from our website, restricted access to booking records, and contractual confidentiality obligations for cleaning professionals and service providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you as required by California law.

  1. Your California Privacy Rights

If you are a California resident, you may have the following rights with respect to your personal information, subject to the conditions and exceptions in California law:

  • The right to know what categories and specific pieces of personal information we have collected about you, the sources, the purposes for collecting it and the categories of recipients.
  • The right to request deletion of personal information we have collected from you.
  • The right to request correction of inaccurate personal information.
  • The right to opt out of the sale or sharing of personal information. As stated in Section 4, we do not sell or share personal information for cross-context behavioral advertising.
  • The right to limit the use and disclosure of sensitive personal information. We do not use sensitive personal information for purposes that would trigger this right.
  • The right not to receive discriminatory treatment for exercising any of these rights. We will not deny you services, charge you a different price or provide a different level of service because you exercised a privacy right.

To exercise a right, contact us by telephone or email using the details at the end of this policy and tell us which right you wish to exercise. We will ask for information sufficient to verify that you are the person whose information is at issue, or an authorized agent acting on that person’s behalf. We will not use the information you provide for verification for any other purpose. An authorized agent must provide written permission signed by you, and we may contact you directly to confirm the authorization.

We will confirm receipt of your request within ten business days and respond substantively within forty-five calendar days, and will tell you if we need an extension permitted by law.

  1. Children’s Privacy

Our website and services are intended for adults. We do not knowingly collect personal information from children under sixteen years of age. If you believe a child has provided us with personal information, contact us and we will delete it.

  1. Third-Party Websites

Our website links to third-party sites and services, including our online booking platform, our payment processor and our social media pages. This policy does not apply to those services. We encourage you to read the privacy policy of any third-party service before providing information to it.

  1. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this document and post the current version on our website. If we make a material change in how we use personal information, we will provide additional notice, which may include an email or a prominent notice on the website. Your continued use of the website or our services after the effective date of a revised policy constitutes acceptance of the revised policy.
